7 WhatsApp renewal reminder templates for gym members (copy-paste)
The renewal reminder is the highest-ROI message a gym ever sends, and also the easiest to get wrong. Too formal and it reads like a bank notice; too pushy and it reads like a debt collector. The sweet spot is a message from a person who knows the member and wants them back on the floor.
Here are seven templates that hit that tone. Replace the brackets, keep the warmth, send from WhatsApp — the only inbox your members actually read.
Before expiry (the money messages)
Send these in the final week of the plan, while the gym habit is still alive.
- 5 days out: "Hi [Name]! Your [plan] at [Gym] wraps up on [date]. Renew any time this week at the desk or on UPI and you continue without a break. See you at your usual slot 💪"
- Expiry day: "Hey [Name], today’s the last day of your plan! Renew on your way in or just send it on UPI — takes a minute. Don’t break the streak now 🔥"
- For your regulars: "[Name], you’ve trained [X] times this month — genuinely great consistency. Plan ends [date]; shall I mark you down for next month?"
After expiry (win-back without the guilt trip)
The rule for lapsed members: zero shame, low friction, one clear door back in. Guilt gets you left on read.
- 1 week lapsed: "Hi [Name], we’ve missed you at [Gym] this week! Your plan ended [date] — renew whenever you’re ready and you pick up right where you left off."
- 1 month lapsed: "Hey [Name], it’s been a while! The [time]-slot crew still asks about you. Come train free this week — if it feels good, we’ll sort the membership after."
- Long lapsed: "Hi [Name], clearing up our member list at [Gym] — should I keep your spot? If life got busy, no stress. First session back is on us."
The welcome message (retention starts on day one)
Renewal at month 1 is decided in week 1. A warm welcome plus an early habit nudge beats any discount you will offer later.
- "Welcome to [Gym], [Name]! 🎉 Your [plan] runs till [date]. Best crowd-free hours are [time] — aim for 3 visits this first week and the habit does the rest. Any questions, just reply here."
Make it a system, not a memory test
Templates only work if they get sent, and memory is where they die. The fix is a morning routine: open the expiry list, see this week’s names, tap send on a pre-filled message for each. How many reminders is too many?
For an expiring plan: one before expiry, one on/near expiry day, one a week later. After that, move them to the monthly win-back rhythm. More than that burns goodwill.
SMS or WhatsApp?
WhatsApp, without question — read rates are dramatically higher in India and replies are frictionless. SMS is a fallback for the rare member not on WhatsApp.
Should reminders come from the gym’s number or the owner’s?
